1. Who we are

We are registered with the Information Commissioner’s Office (ICO) under registration number ZC224710.

If you have any questions about this policy or your personal data, contact us at info@sortmysolar.com.

2. The personal data we collect

When you request quotes through our website, we collect the information you enter into our quote form, which may include:

  • Your name, email address and telephone number.
  • Your address or postcode, and information about your property (such as property type, roof type and ownership status).
  • Information about your energy usage and requirements (such as your approximate energy bills and whether you are interested in battery storage).

When you browse the website, we also collect limited technical data automatically, such as your IP address, browser type and how you interact with our pages. This is collected through cookies and similar technologies — see our Cookie Policy on our website for details.

We do not knowingly collect data from anyone under 18, and our service is not directed at children.

3. How we use your data, and why we are allowed to

UK data protection law requires us to have a lawful basis for each use of your personal data. We use your data as follows:

  • To provide our comparison service — matching your requirements with suitable installers and passing your details to them so they can contact you with quotes. Lawful basis: performance of a contract (providing the service you have requested).
  • To contact you about your enquiry — for example to confirm your details, tell you which installers we have matched you with, or follow up on your experience. Lawful basis: performance of a contract and our legitimate interest in running our service well.
  • To send you marketing about our own services and related offers, where you have agreed to this. Lawful basis: consent, which you can withdraw at any time by clicking unsubscribe or contacting us.
  • To improve our website and service, using analytics about how the site is used. Lawful basis: consent (for analytics cookies) and our legitimate interest in improving our service.
  • To keep records, prevent fraud and comply with our legal obligations. Lawful basis: legal obligation and legitimate interests.

4. Who we share your data with

This is the most important part of this policy, so we want to be clear about it.

Solar installers. The core of our service is introducing you to solar installation companies. When you submit a quote request, we share your name, contact details, address and property/energy information with a small number of installers on our panel that match your requirements, so that they can contact you by phone, email or SMS with quotes. Once we pass your details to an installer, that installer becomes a data controller of your information in its own right and is responsible for how it uses your data, under its own privacy policy. If you no longer wish to be contacted by a particular installer, you can tell that installer directly, and you can also contact us and we will ask them to stop.

We also share personal data with:

  • Service providers who help us run our business, such as website hosting, CRM, email and analytics providers, acting under our instructions.
  • Professional advisers such as accountants, lawyers and insurers, where necessary.
  • Authorities such as HMRC, regulators or law enforcement, where the law requires it.
  • A buyer or successor, if our business is sold or reorganised — your data would transfer as part of that business.

We do not sell your personal data to anyone other than as described above (installers pay us a fee for introductions, which involves sharing your enquiry details with them as described — that is the service you are requesting when you submit the form).

5. Where your data is stored

Your data is stored on secure servers, and we take appropriate technical and organisational measures to protect it against loss, misuse and unauthorised access. Some of our service providers may process data outside the UK; where they do, we ensure appropriate safeguards are in place, such as UK adequacy regulations or the International Data Transfer Agreement/Addendum.

6. How long we keep your data

We keep your enquiry data for as long as is necessary to support your enquiry, handle any follow-up and meet our record-keeping obligations, after which it is deleted or anonymised. In deciding how long that is, we consider the nature of your enquiry, whether you proceed with an installation, and our legal and regulatory obligations. If you have consented to marketing, we keep your marketing preferences until you unsubscribe. We may keep limited data for longer where the law requires it (for example, financial records for 6 years).

7. Your rights

Under UK data protection law, you have the right to:

  • Access — request a copy of the personal data we hold about you.
  • Rectification — ask us to correct inaccurate or incomplete data.
  • Erasure — ask us to delete your data in certain circumstances.
  • Restriction — ask us to limit how we use your data in certain circumstances.
  • Objection — object to processing based on legitimate interests, and to direct marketing at any time.
  • Portability — receive the data you provided to us in a portable format.
  • Withdraw consent — where we rely on consent, you can withdraw it at any time.

To exercise any of these rights, contact us at info@sortmysolar.com. We will respond within one month. We will not charge you for exercising your rights unless a request is manifestly unfounded or excessive.

Please note that exercising your rights with us does not automatically extend to installers we have already shared your data with — you may need to contact them separately, though we will help you do so where we can.

8. Complaints

If you are unhappy with how we have handled your data, please contact us first and we will try to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.

9. Changes to this policy

We may update this policy from time to time. The version published on our website is the current version, and we will update the “last updated” date above whenever changes are made. Significant changes will be highlighted on the website.
